Dental practice software for appointments, HKP and KZV — in one app
Zahnarztpilot combines appointment calendar, patient records, treatment plans (HKP) and KZV billing into one workspace. Fewer appointment calls, fewer treatment-plan rejections, no more quarterly billing marathon.
| Patient | Status | Sum |
|---|---|---|
| M. Hoffmann | Approved | €2,840 |
| P. Schneider | At insurer | €1,620 |
| A. Fischer | Drafting | €3,480 |
| K. Weber | Approved | €980 |
Built with dental practices across Bavaria, NRW and Berlin
Appointments in a paper diary, HKPs in a Word template, KZV billing as a quarterly marathon — the practice runs on too much manual work.
Booking calls eat reception
Reception spends the day on the phone: 'I need to reschedule.' Between calls, treatments and reminders, there's no time for the patient standing at the counter. Five or six appointments still go missed every day.
HKP rejections and delays
The treatment plan goes to the insurer by post, comes back three weeks later, often with queries. Meanwhile the patient waits, you reshuffle, and the treatment start slips by weeks.
KZV quarterly billing chaos
Every quarter: three days of work. Check BEMA items, verify discounts, submit HKP addenda. Billing errors mean weeks of follow-up and payment cuts — and your accountant weeps.
From the first appointment to the KZV billing — in one view.
Calendar with patient self-booking
Patients book check-ups and cleanings via the web practice page — you see new bookings live. Automatic SMS reminders 24 hours ahead cut no-shows from 8% to 2%. Reception wins back two hours per day.
- Web booking for check-ups, cleanings, follow-ups
- Automatic SMS reminder 24h ahead
- Reservable emergency slot per dentist per day
- Multi-calendar for 1 to 4 dentists in parallel
| Dentist | Slots | Utilisation |
|---|---|---|
| Dr. Weber | 22 / 24 | 92% |
| Dr. Bauer | 20 / 24 | 83% |
| Dr. Fischer | 21 / 24 | 88% |
| Dr. Wagner | 19 / 22 | 86% |
Treatment plans submitted digitally to the insurer
Draft the HKP straight from the patient record, submit digitally to the insurer via the KIM network or eGK interface. Instead of three weeks of post, you get approval in four to six days. The patient tracks status in the portal at any time.
- HKP drafting under BEMA and GOZ
- Digital submission to the insurer via KIM
- Patient sees HKP status in the web portal
- History: all HKPs per patient in one view

Quarterly KZV billing in an hour, not three days
BEMA and GOZ items get captured during treatment, not reconstructed at quarter-end. Zahnarztpilot checks items automatically, flags anomalies and generates the KZV batch including HKP addenda. Quarter-end: one click, not three days.
- BEMA and GOZ items captured live during treatment
- Automatic plausibility check before submission
- One-click quarterly KZV batch
- DATEV export for your accountant

What dental practices ask us before the demo
How much does Zahnarztpilot cost?
Zahnarztpilot costs $119/month with all modules included — appointments, patient records, HKP drafting, KZV billing and patient portal. Up to 4 dentists and unlimited patients included, monthly cancellation, no setup fee.
Is KZV billing certified?
Yes. Zahnarztpilot is KZBV-certified for billing under BEMA and GOZ, with automatic plausibility checks. When BEMA items change, we update them centrally — your practice does not have to adjust anything.
Can we migrate from DAMPSOFT or CGM Z1?
Yes. Patient records, HKP histories and open billings come in via the standard export from DAMPSOFT, CGM Z1 and similar systems. A migration session is part of onboarding — we take over the data and run the first treatment day together with you.
Does HKP submission via KIM work?
Yes. Zahnarztpilot is connected to the KIM network and submits HKPs, prescriptions and other messages directly to the insurer. eGK and HBA are supported; TI updates are included.
Is the patient record GDPR- and BDSG-compliant?
Yes. Zahnarztpilot runs from a Frankfurt data centre under an Article 28 GDPR data processing agreement and is compatible with BDSG requirements for health data. Encryption, access logging and role-based permissions are standard.
How fast can we go live?
Typical time from kick-off to your first treatment in Zahnarztpilot: 10 working days. We import your patients, set up the calendar, HKP templates and KZV connection, and train your team across two 60-minute sessions.
Fewer calls at reception. Fewer HKP rejections. No more quarterly marathon.
We're opening Zahnarztpilot in March to 12 dental practices across DACH. If you want to be one of them, book a 30-minute demo — we'll walk through appointments, HKP and KZV billing using your own practice as the example.
