Restaurant software for reservations, staff and food-cost ratio — in one app
Gastropilot combines reservation system, staff planning, food-cost ratio and POS integration in one workspace. Fewer phone reservations, no weekend understaffing, higher margin per cover.
| Time | Name | Guests |
|---|---|---|
| 18:30 | Müller family | 4 |
| 19:00 | Bauer / corporate | 6 |
| 19:30 | Fischer | 2 |
| 20:00 | Wagner / birthday | 12 |
Built with restaurants across Munich, Berlin and Vienna
Reservations in a book, staff plan in Excel, food cost only visible to the accountant — the place runs on too much gut feel.
Phone reservations eat the floor
Server stands at the reservation book, phones between orders. Double-bookings are pre-programmed, no-shows aren't filtered, and Friday's guests are on hold again Saturday morning.
Staff plan without weekly rhythm
Owner builds the roster on Wednesday for the coming week, someone calls in sick, the whole thing collapses. Servers swap shifts on WhatsApp, part-timers aren't reachable on Sunday, and you run the kitchen one person short.
Food cost visible only at month-end
Food-cost ratio only shows when the accountant delivers numbers — six weeks late. By then you've run three weeks at 34% food cost because one supplier raised prices and nobody caught it.
From the reservation to the food-cost analysis — in one view.
Online reservations, live table plan, no-show protection
Guests reserve via your website and Google, you see the table plan live on the iPad. Optional no-show protection via card pre-authorisation, automatic reminder SMS 24 hours ahead. Servers stop juggling phone and floor.

Staff plan with self-application by part-timers
Owner pulls the weekly plan from templates; servers and part-timers apply to open shifts in the app. On a sick call Gastropilot proposes replacements from the pool. Sunday-evening phone calls end, and the weekly rhythm finally matches reality.
- Weekly plan templates for kitchen, service, part-time
- Shift self-application in the app
- Automatic replacement suggestions on sick calls
- Hospitality minimum wage and night surcharges maintained centrally

What restaurants ask us before the demo
How much does Gastropilot cost?
Gastropilot costs $119/month with all modules included — reservation system, staff planning, food-cost ratio and POS integration. Up to 30 staff and unlimited guests, monthly cancellation, no setup fee.
Which POS systems can Gastropilot connect to?
Gastropilot connects to gastronovi, Vectron, Orderbird, Ready2Order and other TSE-compliant POS systems. Revenue per table, per category and per server flows live into reporting.
Can we import reservations from Google and OpenTable?
Yes. Gastropilot connects to Google Business, OpenTable and Bookatable. Reservations from every channel flow into one table plan; double-bookings are impossible.
Is the POS TSE-compliant?
Yes. The connected POS systems are TSE-certified under § 146a AO. Gastropilot itself is not a POS — it analyses what the POS emits. Kassennachschau requests continue to run through your POS system.
Does Gastropilot handle hospitality minimum wage?
Yes. Gastropilot maintains the current hospitality minimum wage and night, Sunday and holiday surcharges centrally. When rates change, we update centrally — your payroll stays current.
How fast can we go live?
Typical time from kick-off to your first online reservation in Gastropilot is seven working days. We connect your POS, import staff and menu, and train your team in one 90-minute session.
Fewer phone reservations. No weekend understaffing. Food-cost ratio in real time.
We're opening Gastropilot in March to 15 restaurants across DACH. If you want to be one of them, book a 30-minute demo — we'll walk through reservations, staff plan and food-cost analysis using your own restaurant as the example.
